Unable to delete Enterprise Vault for Microsoft Exchange shortcuts that have accumulated over time

This issue can occur when shortcut deletion for items that have an age of 12 months or more is configured, but the archiving window is not large enough to allow the shortcuts to be deleted..

Resolution

Create and set the “ShortcutDeletionNow” DWORD registry key to “1″ to resolve this issue . A suggested time to use this key may be on the weekend or during low Exchange server utilization.

Warning: It is not advisable to use this registry key during peak Exchange activity as it relies on INFORMATION STORE access to remove the shortcuts.
1. Navigate to “Start” | “Run” | and type “Regedit” to open the Windows registry.

Warning: Incorrect use of the Windows registry editor may prevent the operating system from functioning properly. Great care should be taken when making changes to a Windows registry. Registry modifications should only be carried-out by persons experienced in the use of the registry editor application.
2. Navigate to: (Figure 1)
HKEY_LOCAL_MACHINE\SOFTWARE\KVS\Enterprise Vault\Agents

3. Right-click on the “Agents” key | select “New” then click on “DWORD Value” (Figure 2)

4. Name the DWORD key as “ShortcutDeletionNow” and set this to value “1″ (Figure 3)

DWORD Description
0 – (Default) Delete shortcuts according to the schedule.
1 – Delete shortcuts when Archiving Service starts .
Note: When the “ShortcutDeletionNow” registry key is set to 1,  the shortcut deletion will run immediately after the archiving service starts and the deletion schedule will be bypassed. The “ShortcutDeletionNow” registry value is automatically reset back to “0″ after the archive run has completed so that deletion behaves normally the next time the archive service starts. The administrator is recommended to verify that the “ShortcutDeletionNow” value has been set back to “0″ .
